Commercial Administrator
Kays Medical is seeking a highly organised and detail-oriented Commercial Administrator to join our team.
The Commercial Administrator will provide essential support to the commercial team, helping to ensure smooth and efficient operations. This role involves handling sales orders, preparing quotations, managing customer queries, and maintaining accurate records on the CRM system. The ideal candidate will have strong organisational skills, attention to detail, and a passion for providing excellent customer service
Key responsibilities:
Sales Order Processing:
- Manage and process sales orders, ensuring all details are accurate and complete.
- Coordinate with the warehouse team to ensure timely and accurate delivery of products or services.
- Handle any amendments or cancellations of sales orders, ensuring accurate records are kept.
Customer Support:
- Serve as the first point of contact for customer inquiries, providing information about products, orders, pricing, and delivery timelines.
- Address and resolve customer issues in a timely manner, escalating concerns when necessary.
- Ensure customer satisfaction by providing excellent service and support throughout the sales process.
Quotations and Pricing:
- Assist in the preparation and distribution of sales quotations to clients.
- Liaise with the commercial team to ensure pricing is accurate and competitive.
- Maintain up-to-date knowledge of pricing structures and discounts.
Invoicing and Credit Control:
- Work closely with the finance team to assist with invoicing customers and following up on outstanding payments.
- Maintain accurate records of customer accounts and transactions.
- Help resolve any invoicing or payment discrepancies.
Database and CRM Management:
- Maintain and update the CRM system, ensuring customer information is accurate and current.
- Regularly update records with new customer information, sales leads, and deal progress.
- Generate sales and performance reports from the CRM system for management review.
Coordination with Internal Departments:
- Liaise with other departments such as production, finance, and logistics to ensure smooth operations and fulfilment of customer orders.
- Communicate and coordinate effectively between the sales team and other departments to resolve any issues.
Required Skills and Qualifications:
Education:
- High school diploma or equivalent (required).
- Bachelor’s degree in business administration, marketing, or a related field (preferred).
Experience:
- 1-2 years of experience in a sales administration or commercial role.
- Experience using CRM systems and processing sales orders
- Familiarity with invoicing processes is a plus.
Skills:
- Strong organisational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to manage time effectively and prioritize tasks in a fast-paced environment.

Salary TBC + Monthly Commission
Working Hours Monday – Friday 08.45 – 17:00
